Executive Assistant, Clinical and Science and Technology Coordinator

About the Position

This position will report to the President, Science and Technology, with a strong matrix line to the Chief Medical Officer. They will be responsible for providing administrative and organizational support that will contribute to the development and operations of engaged, high-performance organizations, focused on the development of first-in-class therapies for autoimmune diseases. This position requires an excellent grasp of administrative tasks and provides an opportunity to have an impact at the senior level.

Responsibilities Include

  • Provide administrative support to the President, Science and Technology and Chief Medical Officer, and their direct reports as required, inclusive of real-time calendar management, travel arrangements, ensuring consistent touch points with direct reports, conference registration and event planning.
  • Provide efficiency and organization for cross-functional Clinical, Regulatory and Science & Technology management activities such as calendar coordination for multi-person meetings, conference registration and team debriefs.
  • Plan, coordinate and support external meetings with external clinical, regulatory and/or scientific advisors, partners, or customers.
  • Support company General Counsel in maintenance and administration of Contract Management process and database.
  • Work with corporate office management team as required to coordinate event hospitality, provide general office support, visitor reception/building access, and prepare meeting spaces at both Center City locations.
  • Develop and update administrative and organizational assets for future knowledge transfer such as team objective planning, status documents, timeline and vendor management templates, and new initiatives.
  • Other duties as assigned.

Required Qualifications

  • 5-7 years of executive administration experience required
  • 1-2 yrs. coordination experience preferred, within a biotech company
  • Proficiency in MS Office (MS Outlook, PowerPoint, Excel, and Word)
  • Strong time management skills and ability to multi-task and prioritize work
  • Attention to detail, organization, and problem-solving skills
  • Strong written and verbal communication skills
