Project Coordinator, Science & Technology

About the Position

We are seeking a highly motivated individual as Project Coordinator. This individual will report into the Senior Director, Technical Operations, with a dotted line to the Associate Director, Research Project management.  This individual will provide support to the project teams in performing cross-functional drug development activities of pipeline products at Cabaletta. In addition, you may be asked to lead and/or participate in special department, cross-functional, or team projects.

Responsibilities Include

  • Coordinate with Senior Director, Technical Operations on all aspects of meeting planning: creating agendas, developing meeting decks, issuing minutes, and ensuring timely responses on deliverables.
  • Partner with Project Leadership to communicate with external partners for scheduling governance and technical meetings; archive project-specific correspondences and files and maintain project timelines.
  • Develop and update administrative and organizational assets for future knowledge transfer such as onboarding checklists, team objective planning, timeline and vendor management templates, and new initiatives.
  • Implement PM tools, best practices and ensure cross-functional alignment and accountability
  • Monitor and communicate progress and adherence to timelines
  • Identify and efficiently resolve issues, driving decisions, and tracking action items
  • Communicate cross-functional project information at project team meetings, governance meetings and to other stakeholders, as appropriate
  • Lead small, department-level projects as required

Required Qualifications

  • A bachelor's degree required; specialization in science or health related field preferred. CAPM, PMP, or other project management certification preferred but not required.
  • At least 3 years of drug development experience supporting project operations within a biotechnology or pharmaceutical environment preferred.
  • History of motivating others to deliver to important milestones while maintaining a positive, transparent, and collaborative team environment
  • Proficiency in MS Office (MS Outlook, PowerPoint, Excel, and Word) and MS Project or Smartsheet.
  • Capable creating/updating detailed cross functional project timelines and to guide and align study team members in terms of planning and executing against the timelines
  • Ability to generate high quality meeting minutes and project materials, such as presentations, action trackers, budget, and cross functional resource plans in conjunction with the PTL, team members and functional leads
  • Must display strong analytical and highly proactive problem-solving skills
  • Excellent verbal and written communication, strong organizational and interpersonal skills
  • Ability to work both independently and collaboratively with cross-functional teams
  • Ability to work in a dynamic, fast-paced, timeline-based environment
